The Max Planck Institute for Brain Research (MPI for Brain Research) in Frankfurt am Main is a steadily growing research institution in the field of basic biological/medical research and is specifically interested in the functioning of circuits in the brain. The institute currently has around 220 employees and consists of three scientific departments, three research groups and several service facilities.
The Neural Systems Department - Prof. Dr. Gilles Laurent is looking for an
Assistant or Foreign Language Secretary (m/f/d)
to start as soon as possible, initially for a limited period of two years - with the possibility of permanent employment thereafter.
The position is initially part-time (50%) with the possibility of increased hours in the future.
Your responsibilities:
- Handling correspondence in German, English and a third language
- Scheduling and monitoring of the Director’s appointments and meetings
- Organization and supervision of events (e.g. seminars, guest lectures, project meetings, teleconferences, conferences, symposia)
- Organization, planning and billing of domestic and international trips
- Support in the preparation of applications and reports for scientific projects and internaldocuments (translation, editing, layout) and for scientific publications (reference management)
- On-boarding of employees and students and maintenance of member and mailing lists
- Assistance with applicant management for interns
- General administrative and secretarial duties and administrative tasks to support the Director and departmental staff
Your profile:
- Training as a foreign language secretary, office management assistant or comparable qualification
- Commitment, independence and team spirit
- Several years of professional experience as an assistant, preferably in scientific institutions or research organizations
- Proven excellent knowledge of English and German, good knowledge of at least one other foreign language is an advantage
- Interest in science
- Very good knowledge of common office IT applications (MS Word, PowerPoint, Excel); knowledge of and experience with reference management software is of advantage
- Very good communication skills
- Organizational talent, high social competence, integrity, discretion and loyalty
